Exporting Timetable PDFs

Export your generated school timetable as a print-ready PDF for classes, teachers, rooms, or students — and email each class timetable directly to its class teacher. Every option below can be set once as an organisation-wide default and still changed at export time.


How do I export a timetable as a PDF?

  1. Open your timetable in the Timetable Editor
  2. Click the Export button in the toolbar
  3. Choose PDF as the format
  4. Pick what to export:
    • Day Wise — everyone on one grid, one page per day
    • Individual — one timetable per class, teacher, room, or student
  5. The PDF downloads immediately — A4 landscape, ready to print

Free accounts get a preview export; the full export is part of the Pro plan.

Export only some classes or teachers

Use the filter in the export menu to choose exactly which classes, teachers, or rooms are included. For example, export only Grade 6 and Grade 7 class timetables instead of the whole school. By default everything is included.


PDF export options

Colour or black & white

Choose Colour for subject-coloured cells, or Black & white for a clean, ink-saving printout — white cells with black text, ideal for photocopying and noticeboards.

Choose what appears in each cell

Pick which details show in every lesson cell — subject, teacher, room, class — and drag them into the order your school prefers. Option blocks (electives) have their own field list, including the option-block name.

Short names

Print abbreviated names for teachers, classes, subjects, or rooms — useful for dense timetables where full names don't fit.

Multiple timetables per page

For individual exports, choose the page layout:

The timetable name prints once at the top of each sheet, and every timetable keeps full-size, readable text.

Breaks, co-teachers, and languages

  • Show or hide break columns
  • Optionally show co-teachers on shared lessons
  • Names in Hindi, Arabic, Thai, and other scripts print correctly — the PDF uses a Unicode font

How do I set school-wide PDF defaults?

Administrators can set the default look of every exported PDF once, for the whole organisation:

  1. Go to Settings → PDF Export Defaults
  2. Adjust theme, lesson fields, short names, breaks, and page layout — a live preview shows the result as you change options
  3. Click Save defaults

From then on, every export starts from these defaults. Anyone exporting can still change any option for a single export — defaults are a starting point, never a lock. Access to this page is permission-controlled (owners and admins by default, configurable per role).


How do I send each class timetable to its class teacher?

TimetableMaster can email every class's timetable straight to its class teacher:

  1. Assign class teachers in the Availability step (each class has a Class Teacher field)
  2. In the Timetable Editor, click Share → Class Teachers
  3. Select the classes to send — each row shows the class, its class teacher, and their email
  4. Click Send

Each class teacher receives one email with their class timetable attached as a PDF. A teacher who leads more than one class gets a single email with all their class timetables attached. Classes without a class teacher (or whose teacher has no email) are clearly flagged so nothing is silently skipped.

You can also share from the Staff tab, which emails every selected staff member their own personal teaching timetable.


Frequently asked questions

Can I export a school timetable in black and white?

Yes. Choose Black & white in the export options (or set it as the organisation default). Cells print white with black text — the most legible, ink-efficient format for photocopied handouts.

Can I print multiple class timetables on one page?

Yes. Individual exports support 2 per page (side by side, rotated) and 4 per page (2 × 2 grid) layouts, with the timetable name printed once per sheet.

Can I change which details appear in each timetable cell?

Yes. Enable or disable subject, teacher, room, and class per cell, and reorder them. Option blocks have a separate field list.

Can I email timetables to teachers automatically?

Yes. Share → Staff emails each selected teacher their personal timetable; Share → Class Teachers emails each class teacher the full timetable of their class. Both send PDF attachments.

Do exported PDFs support non-English languages?

Yes. PDFs render Unicode scripts including Hindi, Arabic, and Thai using embedded Noto fonts, so names never appear as boxes or question marks.

What paper size are exported timetables?

All timetable PDFs are generated in A4 landscape, the standard for school noticeboards and staff handouts.
